Steps for Copying Activity Codes Within the Same Organization Unit

Activity codes can be copied and added to the same organization unit as the original codes. For example, if the organization unit has a set of activity codes for regular hours and a matching set for on-call hours, these activities can be copied and modified without having to create each activity code individually. All attributes of the original activity codes are also replicated, such as the start time, length, check boxes, indicator and parameter settings, etc.

Steps to copy activity codes within the same organization unit:

1. From the Configuration section>Scheduling card, open the Activity Codes screen.
2. Search for activity codes to be copied within the organization unit.
3. Check the box to the left of each activity code that is to be copied.
4. Click on the Copy button in the left pane.
5. Select the Use Current Organization Unit as Destination option.
6. Click on the Next button. A listing of the activity codes being copied is displayed.
7. Update the Code for the activity. The Description can also be modified. Note: The code must be updated or else a message is generated that a duplicate record is being created. No activity codes will be copied until all are renamed to be unique.

   The label describing the activity code.

   The alphanumeric short name or abbreviation identifying this activity code.

   Activity codes can be up to eight characters in length, but it is recommended they are shorter, so they can print on the schedule reports in one line. The system is not case sensitive so you cannot have both a D1 (upper case D) and a d1 (lower case d) code, with upper and lower case letters the same.

   Do not use a space, comma, or semicolon in the code, as these are used as delimiters (characters that mark the beginning or end of a unit of data) when entering activity code/profile strings into the schedule grid. 8. Click on the Finish button in the left pane.
9. If any of the attributes of the activity code should be modified, open the copied activity codes and modify them. For example the copied activities might require different indicator or parameter settings.

   Hint: To modify several activity codes at the same time, use the Replace feature. In the example above, all the newly created on-call activity codes can be selected and the Pay Code link, the Indicator values, and the Parameter values can be modified together.
