Configuration Overview

When using the self scheduling feature, there are several screens that need to be set up. Some of this information may already be completed if it is used with other features in the system. The following configuration is used for self scheduling, schedule trading, and schedule offering.

Roles

Authorization roles can be created to customize the feature access for employees. These can be replicated and modified from Standard roles, or newly created.

Organization Unit - Roles

Roles can be assigned at the Organization Unit level to grant access to all employees with a Primary Home labor distribution assignment in this organization unit.

Organization Unit - Indicators and Parameters

The indicators tab values need to be set up for several rules. These values can be set at a high structure level, and all other structure levels below inherit the settings.

There is a parameter setting to determine the number of days in advance that employees can view the self scheduling screen.

Employee Record - Roles

Individual employees can be granted access to self-scheduling, if the employee's Primary Home organization unit is not set up for it. Also, an employee can be denied access to this feature through this screen to override access given through an inherited organization unit role.

Activity Codes - Indicators

The activity codes that are authorized to be used for self-scheduling are determined by a setting on the indicators tab.

Selection Styles

The scheduling rules used when validating self scheduling, shift trading, and shift offering are set up on this screen.

Staffing Configuration - Self Scheduling tab

This screen is where the available time frames for self-scheduling, shift trading, and shift offering are established and also where the selection styles used are determined.

Profiles - Parameter

If Self Schedule Groups are used to control self scheduling access, these groups are linked to profiles in the Profiles screen>Parameters tab.

Profiles - Activity Codes

Settings on this screen determine whether specific activity codes can be used for self scheduling.

Employee Record - Labor Distributions

The labor distributions assigned to the employee determine the organization unit options available for the employee to access the self scheduling features. A parameter in this screen also determines the Self Schedule Group the employee is assigned to as an override of the value set up on the Profiles screen.

Event Subscriptions

The cards to display the notifications of the employee trades is set up in this screen

Home Page Preferences

Select the My Trade Requests card to display on the Home page to view updates to the trades/offers.

Time Card Screen Preferences

The option to display the Requests card on the employee TCS screen is selected on this screen.
