Define Profile Qualifications

Profile qualifications allow you to define levels of requirements that an employee must meet to be included on the Qualified Staff tab of the Current Staffing Overview. You define these levels starting with employees whose profiles match exactly and then defining successively larger groups of employees by relaxing the requirement restrictions.

Example:
You could set up Profile Qualifications for RNs in the ICU department as follows:
To fill RN vacancies in the schedule, you first want exact matches, then RNs from similar units (schedule partners), then RNs from similar jobs in dissimilar units (schedule partners), and then, in an emergency, any RN.

Set up Profile Qualifications

To set up profile qualifications, complete the following steps.

  1. Navigate to Configuration section > Scheduling card > Profile Qualification screen.

    There may be several profile qualifications included with your system that appear on the screen.

  2. Under Profile Qualification Configuration Actions, click Add.
  3. Using the following table as a guide, enter the desired values in the fields.
  4. Click Save.

    The label describing this record

    Any text

    This is the name of the qualification level that appears on the Qualified Staff tab.

    Point Value

    Used to compare and rank profile qualifications. Lower numbers rank higher (for example, 1 ranks higher than 5).

    Any numeric value

    This number does not have to be unique. If another like value exists, the two profile qualifications are grouped together.

    Licensed

    Determines whether only appropriately licensed employees be included

    Y or N

    Yes = Only employees who meet the license requirement of the profile and position will be selected

    No = Only employees who do not meet the license requirement of the profile and position will be selected

    Labor Distribution

    Determines which labor distributions to include

    None, Home, or Non-Home

    None = Labor Distribution is not used

    Float

    Determines whether to include float employees

    Y or N

    The selection for this field correlates to how an organization unit indicator was set in an earlier section (see Set the Organization Unit Indicators).

    Yes = Branch-level organization unit Staffing and Scheduling indicator: SS Standard 4 is set to A or B

    No = Branch-level organization unit Staffing and Scheduling indicator: SS Solution Standard 4 is set to N

    Organization Unit

    Determines which type of organization unit to include

    None, Schedule Partner, or Exact

    None = Organization Unit is not used

    Schedule Partner = Search in organization unit schedule partners

    Exact = Search only in the matching organization unit

    Tier Level

    Used to further rank similar schedule partners. Lower numbers rank higher (for example, 1 ranks higher than 5).

    Job Class

    Determines which type of job class to include

    None, Schedule Partner, Exact, Position, or Profile

    None = Job Class is not used

    Schedule Partner = Search in job class schedule partners

    Exact = Search only in matching job class

    Position = Search for matching position permissions

    Profile = Search for matching profile permissions

    Ancestor

    Determines which organization unit level to search in

    None or any organization unit level

    None = Ancestor is not used

    Org Unit = Could be department only or entire facility

Run the Schedule Qualifications process

Profile qualification changes are updated in the system at regular intervals. However, to see your changes prior to the next automatic update, run the Schedule Qualifications process.

Note: This process may take some time to complete, depending on several factors, such as the number of changes and server speed.
